Property management virtual assistant cost includes more than the hourly rate. A company also pays for the search, onboarding, tools, management and any obligations that apply to the working arrangement. Comparing one person’s wage with another person’s complete employment cost gives you a misleading result.
Build two budgets: the first-year cost of bringing the person into the business and the ongoing annual cost once the initial setup is complete. Then compare equivalent responsibilities, coverage and quality—not simply two job titles.
BetterWho uses Remote Team Member (RTM) for a long-term remote hire who is part of your core team and owns outcomes. Neither RTM nor virtual assistant determines the person’s lawful employment status or total cost.
What changes the pay requirement?
Experience, specialist knowledge, decision responsibility, working hours, location and the available candidate market all affect compensation. A person maintaining routine records is not interchangeable with a controller or operations manager. Night coverage, software-specific experience and supervisory responsibility can also change the candidate pool.
Use recent, role-specific candidate expectations or provider quotes. Record the date, currency, hours, responsibilities and benefits included. Broad country averages can be a rough research starting point, but they are not sufficient to price a particular property management job.
Advertised pay and recruitment fees
This property-management job advertisement was checked on 21 October 2026. It provides a concrete starting point for one role; it is not a market average or a BetterWho pay quote.
| Advertised role | Monthly pay in US dollars | Scope and working requirements |
|---|---|---|
| Assist World: Maintenance Coordinator | $1,400–$1,800 | Residential PM and AppFolio experience; 40 hours per week on US Eastern hours; posting lists South Africa and Colombia |
The advertised pay is what a candidate may receive. It does not establish the client’s complete hiring cost, including recruiting fees, employment obligations, tools and supervision. Availability and advertised terms can change.
Separately, BetterWho’s published RTM Direct Placement fees were, when checked:
- $2,500 for general support.
- $3,000 for experienced roles.
- $3,500 for specialist or leadership roles.
These are one-time placement fees, separate from the colleague’s pay. Specific software or country requirements can change the tier; the optional EOR Upgrade and Priority Pass add-ons cost extra. Check the current published prices for your role. The external advertisements above are not BetterWho placements.
The worked budget below is a separate hypothetical example. Replace its pay and recruiting inputs with actual offers before using it to approve a hire.
Separate the hiring route from the working relationship
A job board, recruitment firm or referral helps you find a person. It does not automatically decide whether the resulting relationship is employment, independent contracting or employment through an Employer of Record (EOR).
For US federal tax purposes, the IRS explains that the actual relationship matters. Overseas work requires its own country-specific review. Direct hiring does not remove local obligations, and an agreement calling someone a contractor is not a complete classification analysis.
An EOR arrangement may provide local employment and payroll administration through a third party. Confirm the provider’s country coverage, responsibilities, service fee, deposits, statutory costs and exit terms. A recruiting fee and an EOR fee pay for different work.
Build the full budget
| Cost category | What to include | Question to resolve |
|---|---|---|
| Base pay | Paid hours or agreed salary | What hours, currency and payment schedule are covered? |
| Recruitment | Advertising, sourcing, assessments and placement fees | What is included, and what are replacement or cancellation terms? |
| Onboarding | Training, manager preparation and supervised practice | What work will the manager stop doing to provide this time? |
| Management | Ongoing check-ins, quality review and development | How much support does this role need? |
| Equipment and tools | Computer provision, business phone, software and secure access | What is supplied, reimbursed or already available? |
| Employment and benefits | Applicable contributions, leave, annual payments, insurance and agreed benefits | What does the country-qualified adviser or payroll provider calculate? |
| Payment and currency | Transfer charges, conversion costs and exchange-rate exposure | Who bears each cost, and in what currency is pay guaranteed? |
| Coverage and turnover | Leave coverage, vacancy, replacement and ramp-up | What extra capacity or contingency is needed? |
Do not add every item blindly. If paid leave is already included in 2,080 paid annual hours, adding the same leave pay again double counts it. Temporary cover during that leave may still be a separate cost. Likewise, distinguish an equipment purchase from its annual accounting allocation.
A complete first-year example
Assume a fictional support role with 2,080 paid hours per year at $10 per hour. The company budgets separate onboarding time and ongoing manager review. All amounts are US-dollar planning equivalents; actual obligations and currency terms must be established for the hire.
| Item | Calculation | First-year cost |
|---|---|---|
| Base pay | 2,080 hours × $10 | $20,800 |
| Recruitment | Illustrative one-time amount | $2,000 |
| Additional manager onboarding time | 30 hours × $40 loaded internal hourly cost | $1,200 |
| Equipment setup | Illustrative one-time purchase | $600 |
| Software and business phone | $60 × 12 months | $720 |
| Ongoing manager review | 2 hours × 52 weeks × $40 | $4,160 |
| Payment and currency charges | $30 × 12 months | $360 |
| Benefits and employment-cost provision | Illustrative allocation, to be replaced by a reviewed calculation | $3,000 |
| Total first-year economic cost | Sum of the rows above | $32,840 |
The $3,000 provision is not a country-specific payroll estimate or an assurance that it covers all obligations. Replace it with the actual calculation before approving a hire. Any EOR fee or additional leave coverage must also be added if required and not already included.
The management amounts value internal time. They may be costs already present in payroll rather than new cash payments, but that capacity is still consumed. Keep a separate cash-flow view so you do not mistake allocated time for money leaving the bank a second time.
If the recruitment, extra onboarding and equipment setup do not recur, the comparable ongoing total is $29,040 before pay changes, replacement equipment or new obligations. The first-year total averages $2,736.67 per month, although cash payments will not be evenly distributed. Recruitment and setup may be due before the person starts.
A separate $1,000 contingency would make the authorized planning budget $33,840. It is a reserve, not an incurred expense or an assumed turnover bill.
Compare hourly pay and fixed pay fairly
Hourly pay makes the relationship between paid hours and base compensation visible, but actual pay can vary with authorized hours. Fixed monthly pay can simplify forecasting, but the agreement must still define working hours, coverage, leave and any legally required overtime treatment.
Neither structure automatically determines worker classification or eliminates employment rules. Compare annual compensation on the same basis. In the example, $20,800 divided by 12 is $1,733.33 per month as a budgeting equivalent, not a statement that every month contains the same number of working hours.
Also distinguish paid hours from productive task hours. Training, meetings and leave can be legitimate paid time. Dividing the full budget by all paid hours gives a different result from dividing it by the hours available for a specific queue. Use the denominator that matches the decision you are making.
Test a multi-hire savings claim
Suppose three equivalent local roles each cost $60,000 annually on a fully comparable basis. Their total is $180,000. Three hires using the illustrative first-year budget above total $98,520, a difference of $81,480.
That is arithmetic under stated assumptions, not a promise that three remote hires save a particular amount. The comparison fails if local roles include inspections or other work the remote roles cannot perform, if quality requires substantially more supervision, or if the benefits provision is too low.
It also fails as a cash-savings claim when you are adding people without reducing an existing expense. In that case, the decision is about affordable capacity and the value of work absorbed. A useful sensitivity check is to add the costs of greater management support, higher pay or replacement coverage and see whether the business case remains acceptable.
Plan annual payments and pay reviews separately
An applicable 13th-month payment or other annual entitlement belongs in the budget from the start. Use the annual-pay guide for the distinction between statutory payments and discretionary rewards. Do not assume every country’s payment occurs in December.
A later raise changes the ongoing cost and may affect related obligations. The salary-review guide provides a worksheet for the role, performance evidence and decision. Budget a review process without inventing a universal annual raise percentage.
Handle payment documentation correctly
For a foreign individual, Form W-8BEN may be relevant to documenting foreign status for US withholding and reporting. Under the IRS instructions, the individual generally provides the form to the withholding agent or payer when appropriate; it is not a form the property manager completes to declare someone an independent contractor, and it is not sent to the IRS. Different facts can require different forms or treatment, so ask your tax adviser what your arrangement needs.
Agree payment currency, frequency, transfer method and responsibility for charges in writing, subject to applicable requirements. Verify the provider supports the countries and business use involved. A cheap transfer is not useful if it arrives late or creates an unexpected deduction from agreed pay.
For the wider hiring sequence, use the first-hire guide. If you want recruitment support, RTM Direct offers direct-hire options with placement and support fees separate from the RTM’s pay. Compare its published pricing with your complete budget before selecting a plan.
